A.Timings and Working Hours
The Employee shall adhere to the prescribed working hours. The Employee may require to work on holidays or beyond normal hours, for which compensation or compensatory leave shall be granted in accordance with applicable policy.
1. School Working Hours
The official working hours of the School shall be from 7:45 AM to 3:45 PM (8 hours) for teachers & 9:00 AM to 5:00 PM for office staff or as notified by the Management from time to time.
Employees shall report to duty punctually and remain present during the entire prescribed working hours unless otherwise authorized.
The School reserves the right to revise, extend, reduce, or restructure working hours in the interest of administration, student welfare, examinations, events, emergencies, or operational necessity.
2. Reporting Time
All teaching and non-teaching staff shall report to duty at least 15 minutes prior to the commencement of their scheduled duty hours or assembly, unless otherwise specified.
Repeated late reporting without valid reason shall be treated as misconduct and may attract disciplinary action.
3. Attendance and Departure
Every employee shall mark attendance through the prescribed system, including biometric, register, digital application, or any other mode introduced by the School.
No employee shall leave the premises during working hours without prior approval from the competent authority.
Early departure without sanction shall be treated as unauthorized absence.
4. Teaching Staff Timings
Teaching staff shall adhere to the timings fixed for classroom teaching, assembly duty, examination duty, remedial classes, meetings, parent interactions, training sessions, and co-curricular responsibilities.
Teachers may be required to remain beyond regular hours for correction work, events, result preparation, admissions, inspections, or academic planning without separate notice as reasonably assigned by the Management.
5. Non-Teaching Staff Timings
Administrative, accounts, transport, maintenance, security, housekeeping, and support staff shall follow timings as prescribed for their respective departments.
Shift duties may be assigned wherever operationally necessary.
6. Breaks and Recess
Employees shall be entitled to lunch/recess breaks as scheduled by the School.
Break timings may be staggered department-wise to ensure uninterrupted functioning.
7. Overtime / Extra Duty
Where required, employees may be assigned duties beyond normal working hours for examinations, functions, admissions, emergencies, transport, maintenance, or special assignments.
Compensatory off or overtime benefits, if any, shall be governed strictly by Management approval or by applicable law and approved policy.
8. Weekly Off and Holidays
Weekly offs and holidays shall be as declared in the School calendar or notified by the Management.
Employees may be called on holidays or weekly offs for urgent institutional work, events, admissions, training, or emergencies.
9. Late Coming
Habitual late attendance shall be viewed seriously.
The Management may deduct salary, mark leave, issue warning letters, or take disciplinary action in cases of repeated delay.
10. Absence During Working Hours
Unauthorized absence from workstation/classroom/office during duty hours shall constitute misconduct.
Time lost due to unauthorized absence may be deducted from salary and may invite disciplinary proceedings.
11. Flexibility of Timings
The Management retains absolute discretion to assign staggered timings, rotational shifts, extended hours, seasonal timings, examination schedules, camp duty, hostel duty, transport duty, or any special schedule as required.
12. Compliance
All employees are required to strictly comply with notified timings. Non-compliance may result in warnings, salary deductions, leave adjustment, or disciplinary action as per policy.
All the employees must register their attendance on the biometric fingerprint attendance machine regularly both at the time of arrival & departure. In case the machine is not working or shows error, they must sign the attendance register mentioning the time both at the time of arrival & departure.
B.Dress Code
1. Purpose
All employees shall maintain a neat, professional, modest, and dignified appearance consistent with the values, discipline, and reputation of the School.
Employees are expected to dress in a manner appropriate for an educational institution dealing with students, parents, visitors, and the public.
2. Applicability
These dress code provisions shall apply to all teaching, non-teaching, administrative, support, contractual, temporary, and outsourced personnel while on duty, on School premises, or representing the School at any official event.
3. General Standards
Clothing shall be clean, ironed, presentable, and in good condition.
Personal hygiene and grooming shall be maintained at all times.
Attire shall not be flashy, revealing, offensive, torn, excessively casual, or unsuitable for a professional school environment.
4. Teaching Staff Dress Code
Teaching staff shall wear formal, modest, and professional attire as approved by the Management.
Saree, salwar suit, formal kurta with appropriate trousers, formal shirts, trousers, blazers, or any attire specifically prescribed by the School may be worn.
5. Non-Teaching Staff Dress Code
Administrative and office staff shall wear formal office attire or prescribed uniforms.
Support staff, drivers, attendants, housekeeping, maintenance, security, and transport personnel shall wear uniforms or attire prescribed by the School.
6. Identity Card
Every employee shall prominently display the official School identity card while on campus or during official duty outside campus.
9. Prohibited Attire
The following shall not be permitted unless specifically approved:
- •(a) Torn or distressed clothing
- •(b) Sleeveless or revealing attire inconsistent with professional norms
- •(c) Clothing displaying offensive words, slogans, graphics, or political messaging
- •(d) Excessively flashy accessories
- •(e) Casual wear such as shorts, track pants, nightwear, or similar attire
13. Management Rights
The Management reserves the right to interpret, modify, prescribe uniforms, and enforce dress standards from time to time in the interest of discipline, branding, safety, and institutional reputation.
C.Trial / Provisional / Contract / Probation Period
1. Applicability
All appointments made by the School may be on Trial, Provisional, Contractual, Temporary, Fixed-Term, or Probation basis as determined by the Management.
4. Probation Period
Newly appointed employees may be placed on Probation for a period specified in the appointment letter, ordinarily ranging from three to twelve months.
Confirmation of service shall be effective only upon written confirmation issued by the Management.
Mere completion of the probation period shall not amount to automatic confirmation.
10. Management Rights
The Management reserves the right to classify appointments, extend or curtail such periods, review suitability, confirm services, renew contracts, or discontinue employment in accordance with policy and applicable law.
D.Security Deposit
2. Quantum of Security Deposit
The total Security Deposit shall ordinarily be equivalent to two (2) months' gross salary of the employee, unless otherwise specified in the appointment letter or notified by the Management.
The Security Deposit shall consist of the following components:
- •(a) One (1) month's salary to be retained by the School through salary deductions; and
- •(b) One (1) month's salary equivalent cheque submitted by the employee in favour of the School as security.
7. No Interest
No interest shall accrue or be payable on any amount retained as Security Deposit.
E.Provident Fund (PF) and ESI
You shall be entitled to PF and ESI benefits after your probationary period. Your increments and allowances in the grade are discretionary and will be subjected to and based on effective performance and result henceforth. PF and ESI benefits shall be provided in accordance with applicable statutory provisions.
F.Leave Policy
1. General Provisions
Leave is a privilege and not a matter of right. All leave shall be subject to prior approval of the competent authority and exigencies of work.
Employees shall be entitled to leaves only after they are regularized as permanent employees.
2. Categories of Leave
At present, the following annual leave entitlement may apply:
- •(a) Casual Leave (CL): Twelve (12) days per calendar/academic year
- •(b) Medical / Sick Leave (ML): Eight (8) days per calendar/academic year
5. Restricted Dates / Non-Grant of Leave
Leave shall ordinarily not be granted on:
- •The reopening day of the School after any vacation;
- •The last working day immediately preceding any school vacation or closure period;
- •Examination days, result days, inspection days, admission days, annual function days, training days, or any day on which attendance is specifically declared mandatory.
G.Responsibilities and Duties
1. General Duty of Service
Every employee shall faithfully, diligently, and efficiently discharge the duties of the position to which they are appointed.
3. Compliance with Directions
Employees shall comply with all lawful and reasonable instructions, policies, circulars, procedures, and directions issued by the Management, Principal, Head of Department, or other authorized authority.
7. Accountability
Employees shall remain accountable for the proper completion of tasks entrusted to them and for safeguarding records, materials, equipment, and confidential information under their control.
H.Confidentiality
1. Duty of Confidentiality
Every employee shall maintain strict confidentiality regarding all confidential, sensitive, proprietary, or non-public information relating to the School, its students, parents, staff, management, operations, and associated persons/entities.
The obligation of confidentiality shall apply during employment and shall continue even after cessation of service.
3. Non-Disclosure
It is mandatory for all employees to sign the Non-Disclosure Agreement.
10. Breach of Confidentiality
Breach of confidentiality may result in disciplinary action, suspension, termination, recovery of losses, civil proceedings, or criminal complaint wherever applicable.
I.Code of Conduct: Professional Boundaries with Students
1. Standard of Professional Conduct
All employees shall maintain the highest standards of professionalism, integrity, dignity, and appropriate conduct in all interactions with students.
2. Professional Boundaries
Employees shall maintain clear, appropriate, and professional boundaries with students at all times, whether inside or outside the School premises.
No employee shall engage in over-familiar, inappropriate, exploitative, suggestive, intimate, or otherwise unprofessional personal interactions with any student.
6. Duty to Safeguard
Every employee shall actively protect students from harassment, exploitation, grooming, abuse, discrimination, humiliation, or inappropriate influence.
J.General Service Conditions
3. Private Tuition / Coaching
Employees shall not provide private tuition, paid coaching, home tuition, or private academic instruction to students, whether at home, online, in coaching centres, or elsewhere, without specific written approval of the Management.
Private tuition of the School's students without authorization shall constitute serious misconduct.
6. Complaints, Misconduct, and Progressive Discipline
Serious misconduct may attract immediate disciplinary action, including suspension or termination, without requiring prior warnings, where permissible by law.
K.Termination of Services
Purpose
These clauses govern the termination of employment of all employees of Delhi Public School Kamrup and are intended to ensure fairness, transparency, discipline, and compliance with applicable laws and institutional standards.
3. Grounds for Termination
Employment may be terminated on any of the following grounds:
a. Resignation by Employee
An employee may resign from service by giving written notice as per the terms of appointment/contract or 3 (Three) Months' Notice.
b. Termination During Probation
During the probation period, services may be terminated by giving notice or salary in lieu thereof, as per appointment terms.
d. Misconduct
Termination may arise in cases of misconduct, including but not limited to:
- •i. Wilful insubordination or disobedience
- •ii. Negligence of duty / Habitual absenteeism or late attendance
- •iii. Breach of confidentiality
- •iv. Harassment or inappropriate conduct
- •v. Fraud, theft, misappropriation, or dishonesty
- •vi. Violation of child safety, safeguarding, or student protection norms
7. Notice Period / Pay in Lieu
Termination not arising from misconduct may be effected by giving notice or salary in lieu of notice, as per appointment letter, contract terms, or applicable law.
L.Special Standard for School Employees
As the School deals with minor children, all employees are held to a heightened standard of conduct, integrity, sensitivity, and child protection. Any conduct endangering the welfare, dignity, or safety of students shall invite strict disciplinary action, including termination.
M.Management Rights
The Management reserves the right to interpret, amend, enforce, or supplement these service conditions and to take disciplinary or administrative action in accordance with policy and applicable law.
N.Amendments
You cannot leave the service before the completion of the ongoing session.
The school's session, which runs from 1st April to 31st March, cannot be left during that time. Additionally, if someone needs to leave for an emergency then security deposit would not be returnable. The security deposit for 2 months shall be recovered from your account as mentioned in Clause D – Security Deposit.
